The system provides you with a seemless link to Outlook to enable you to create tasks with any users in PROJECT in a box and you can also choose to add other users from your personal Outlook address book.  Unfortunately this capability isn't available for users operating email in SMTP mode.

Either use the 'send' pick list next to the users email address in their User Details form if you know the user or choose the recipients from a project or portfolio list using the 'Communicating with other users' form.

Once you have chosen the recipients you will be prompted by Outlook to grant temporary access to your address book, you need to agree to this to complete the process.  Only then will an Outlook Task form will open populated with the users you selected.  You can now choose your task details and add further users as required.

There is no feedback from this system into PROJECT in a box so ensure you retain information associated with the progress of the task appropriately in Outlook.  You might consider keeping notes and adding them as a file to PROJECT in a box or checking out to email (but instead selecting task) to pass a file such as a work package or a team member diary to the recipient.  Remember you can drag and drop tasks or any other items from Outlook into PIAB as files as long as you go via the desktop or a windows folder first.

When the task is completed you could then check the revised file back into the system including any notes and information from the recipient.

Any files provided as a copy or checked out and attached to the task will be noted against you.

Additional functionality has also been provided to support return of checked out attachments via Outlook email.  Both the drag and drop and Outlook tool bar elements of this can also be used to return modifications to files checked out against tasks and returned via outlook.
